All your communication solutions on one platform
5 June 2019
At Today’s Plan we have created a platform that allows coaches, coached athletes and self-coached athletes to schedule and analyse their training, all in the one location. The inbox is one of the features that allow this, it is a powerful tool that provides you with a central place to manage your alerts and notices as well as communicate between athlete and coach. This article will outline the full functionality of the inbox on the desktop website, but our mobile app also has a well developed inbox to sort through messages and receive push notifications for athletes. The information within the inbox can be grouped into 3 main categories, messages, notices and activity alerts.
This is a direct message that you can send to your coach. As a coach you have the ability to send individual messages to your athletes or group messages to any of the groups you have created.
As with your normal email you can create formatted content, embed images directly into the message or use the attachments option to attach pdf, audio or image files.
Each new message can have a scope applied which allows users who have given access to multiple people control over who can see the message. The scope is automatically set to a default depending on if you are an athlete or coach, but if you wish to change the scope the various options include:
- Private – only the direct recipient of this message will be able to see the message
- Coach – the recipient and all of the users coaches will be able to see the message
When an athlete or coach adds notes to an activity (file, workout or event) this will appear in the athlete and/or coaches Inbox.
Clicking through to this message from the Inbox and this will take you through to the notes tab on the relevant activity.
A notice is anything related to a specific file or requiring attention by the athlete and/or coach. It is not designed to be a communication thread. A notice will appear highlighted if an action is needed or possible attention required in a file. These notices will also have a tick icon that you will need to select to acknowledge you are aware of the notice. For a coach, the choice of acknowledging a notice for their client is at their own discretion. For instance, if there is a notice about a power meter battery going flat, they may choose to leave this for their client to accept. In another case where there has been a new training threshold picked up, the coach has the option to apply this for them.
Some examples of a notice include:
- An athlete has added an event
- An athletes completed activity does not match the scheduled workout
- Power meter is running low
- You or your athlete has a new training threshold
- A file integrity alert: Altitude issue, cadence integrity alert, heart rate integrity alert
- A coach access request
For information on customising smart alerts and achievements as a coach, please see these blog posts:
As a self-coached athlete you can adjust your alert and achievement setting by going into Account, then Preferences and adjusting the settings under smart alerts and achievements.
The search bar gives you the ability to filter your inbox messages, notices and activities. This efficiency tool is an extremely helpful feature saving you time from sifting through all of your messages. This is particularly useful for coaches who may have several athletes with multiple lines of communication. The search bar helps to filter what you are after so that you can make more efficient use of your time. You are able to search your inbox in a variety of ways, you can search by title, sender/recipient, group and type of message. You can also select the time period for which you are looking at, and the option to see only unread messages.

Finally, it is worth noting that you are able to choose whether or not you receive external emails about these inbox messages/notices. To turn the external emails on or off, use the “inbox notes” option in your account settings, as shown below.
